Important: AI Usage & API Costs

AI features are completely optional. The core Smart ERP application works without connecting to any AI provider.

Smart ERP supports a bring-your-own-API-key model with:

You must provide your own API key if you want to use the AI features. AI provider charges are not included with Smart ERP.

Google Gemini may provide a free usage tier depending on the provider’s current availability and policies. If you exceed any free allowance or choose a paid AI provider, you will be billed directly by that provider.

Smart ERP does not resell, mark up, or take a share of your AI provider charges. Your AI provider account and billing remain completely separate from the Smart ERP license.

Online Payment Methods

Smart ERP supports multiple payment options for the online store, including:

Stripe and PayPal require your own merchant account. Smart ERP connects to these gateways using your own Stripe and/or PayPal account credentials and API keys, which you must create directly with Stripe and PayPal. Transaction fees, payout terms, and any other charges from Stripe or PayPal are not included with Smart ERP and are billed to you directly by the payment provider.

Server & Technical Requirements

Smart ERP is a self-hosted Node.js application. Please review the requirements below before purchasing to confirm your hosting environment is compatible.

Software Requirements

• Node.js: version 18.18 or later (Node.js 20 LTS recommended)
• MongoDB: version 5.0 or later (MongoDB 6.0 or 7.0 recommended) — self-hosted or a hosted service such as MongoDB Atlas
• npm: version 9 or later (bundled with the recommended Node.js versions)
• Operating System: any Linux, macOS, or Windows environment that supports Node.js; a Linux VPS is recommended for production
• Ability to run a persistent Node.js process (via PM2, Docker, or a similar process manager) and to configure a reverse proxy (e.g., Nginx) with an SSL certificate for production deployments

Recommended Hardware Specs

• Minimum (single branch, low traffic, MongoDB hosted separately e.g. Atlas): 1 vCPU, 2 GB RAM, 10 GB SSD storage
• Recommended (production, single or multi-branch): 2 vCPU, 4 GB RAM, 20–40 GB SSD storage
• Self-hosting MongoDB on the same server: add at least 2 GB RAM and additional SSD storage for the database
• High traffic / many terminals & kiosks: 4+ vCPU, 8+ GB RAM, scaled to your concurrent POS sessions and catalog size
• Extra disk space is recommended for product images, uploaded files, and database backups

Actual requirements vary with the number of branches, terminals, concurrent users, product catalog size, and online store traffic. The specs above are a starting point for a typical small-to-medium deployment.
